The call

Newforma holds its niche through deep AEC integrations and audit trails, but its AI answer is unproven as Microsoft, Autodesk, and Procore circle.

Newforma helps construction teams automatically file emails, organize requests for information, and search project communications. It has been profitable for 23 years and serves over a thousand firms, giving it real stickiness because switching away means rebuilding years of organized records and losing audit trails that matter in disputes. However, the core work it does, sorting and searching emails, is exactly what new AI tools like Microsoft Copilot (already built into Outlook and Teams where people already work) and features from bigger rivals like Procore and Autodesk can now do just as well or better. The one thing that could change the picture is whether Newforma's new AI assistant actually ships and proves that customers will keep paying for it instead of relying on free AI from their email provider.

Why
01
AI pressure: Microsoft Copilot in Outlook/Teams. Copilot already files, sorts, and searches emails and documents inside Outlook/Teams, the same job Newforma's core tool does, without a separate app. Could AI do the core job? Only partly.
02
Bigger players: Procore and Autodesk. Procore owns general contractor software and Autodesk owns BIM/CAD; either could push AI-native project-info tools into the architect side Newforma serves. Could a giant copy it? Yes, easily.
03
What protects it. Two decades of stored project data, deep AEC tool integrations, and audit trails firms need for disputes keep customers from switching easily.
What would change this call
Vojo and Email Filing Assistant reach general availability with named-customer case studies by end of 2026. Shows Newforma's AI defense is real, not just roadmap talk.
Microsoft announces Copilot features in Outlook/Teams for project email filing or RFI classification. Would show Microsoft closing in on Newforma's core filing niche natively.
Autodesk or Procore ships an architect/engineer-side project-info or audit-trail feature in Construction Cloud or Procore. Would show a horizontal rival directly encroaching on Newforma's niche.
Key numbers
  • Revenue estimated at $41.3M (2026-06-06)
  • 20 million projects managed globally (2026-05-07)
  • Peter Cannone named CEO (2025-04-24)
Named risks
  • Core value proposition (email filing, RFI classification) is directly automatable by LLM agents; Newforma's AI response is roadmap-only as of May 2026. Severity: high
  • Microsoft Copilot, Autodesk, or Procore could extend natively into Newforma's PIM niche without structural barriers. Severity: high
  • Conflicting HQ and headcount data across sources signals organizational instability or poor reporting discipline. Severity: medium
  • PE ownership under Ethos Capital since April 2023 could trigger a sale or recapitalization within a typical hold period. Severity: medium
  • On-prem to cloud migration push (server buyback, Nov 2025) could disrupt legacy Project Center customer retention. Severity: medium

Questions people ask
Is Newforma profitable?
No public profitability figures exist. Newforma is private and PE-owned by Ethos Capital since April 2023. Third-party estimates (ZoomInfo, Datanyze, as of 2026-06-06) put revenue near $41.3M, but no profit or margin data has been disclosed.
Could AI replace Newforma?
Newforma's core job, filing emails and classifying RFIs/submittals, is exactly what LLM agents now do well. It announced its own AI assistant Vojo and an Email Filing Assistant on May 7, 2026, but as of that date these remain roadmap items without demonstrated customer retention outcomes.
Who owns Newforma?
Ethos Capital acquired Newforma from Battery Ventures in April 2023, per a Businesswire announcement dated 2023-04-03. Battery Ventures had owned Newforma since 2017. Total disclosed prior VC funding was about $25.1M.
Is Newforma a safe company to join right now?
Newforma is a 20+ year old cash-generating vertical software firm with 1,200-1,500 customer firms, but it installed a new CEO, Peter Cannone, on April 24, 2025, and is mid-transformation with an unproven AI pivot and conflicting headcount reports of 201-500 employees as of June 2026.
Who is Newforma's biggest competitor?
Procore dominates general-contractor project management and Autodesk controls BIM/CAD tooling, having folded acquired rival PlanGrid (bought for about $875M in 2018) into Autodesk Build. Microsoft Copilot in Outlook/Teams is also a rising threat since it sits closer to where project emails originate.
Has Newforma had layoffs?
No layoff evidence appears in available sources. Employee counts are reported inconsistently across sources: 101-250 in 2018 versus 201-500 as of 2026-06-06 per ZoomInfo, suggesting gradual headcount growth rather than cuts, though figures conflict across data providers.
