The call

Zapproved is a fading brand inside Exterro, squeezed by free Microsoft bundling and free AI review from Relativity, Everlaw, and DISCO.

Zapproved helps lawyers find and manage important documents in legal cases. It is now extremely hard to copy or replace because Microsoft put the same basic tool free into Microsoft 365 (starting February 2025), and competitors like Relativity and Everlaw added free AI-powered review at the same time (November 2025). The one thing that could change the picture is if Exterro decides to shut down the Zapproved brand entirely instead of keeping it as a smaller product inside the company, but that would mean it becomes a legacy tool being phased out rather than a business that could grow.

Why
01
AI pressure: Relativity aiR, Everlaw AI, DISCO Cecilia. Rivals now bundle AI document review free, killing the pricing edge Zapproved once had on legal holds. Could AI do the core job? Yes, likely.
02
Bigger players: Microsoft Purview eDiscovery. Microsoft folded legal hold and eDiscovery into M365 Purview for free, undercutting the whole product category. Could a giant copy it? Yes, easily.
03
What protects it. Existing corporate contracts and chain of custody records still running inside Exterro's platform.
What would change this call
Exterro announces retirement or full rebrand of the Zapproved product line. Confirms Zapproved is being sunset rather than reinvested in.
Zapproved headcount falls further below 13 within 12 months. Shows continued wind-down rather than stabilization.
Exterro launches a new Zapproved-branded AI legal-hold feature. Would contradict the wind-down narrative and show renewed investment.

Questions people ask
Is Zapproved still an independent company?
No. Exterro acquired Zapproved on January 19, 2023, and it now operates as a product line inside Exterro. Zapproved's own headcount fell from about 142 employees in September 2021 to just 13 by June 2026, per Crustdata tracking, indicating absorption rather than independent operation.
Could AI replace Zapproved's legal hold software?
Much of it already has. Microsoft bundled Purview eDiscovery free into Microsoft 365 (unified experience Feb 2025, classic tools retired Aug 31, 2025), and Relativity gave away its aiR AI review/privilege features free starting Nov 1, 2025, undercutting Zapproved's core legal-hold value proposition.
Is Zapproved profitable?
Zapproved does not disclose standalone financials as an Exterro subsidiary. Parent Exterro's 2024 revenue is estimated at $62.9M by Latka (as of Dec 2024), but no Zapproved-specific profitability figures exist post-acquisition.
Who owns Zapproved?
Exterro, Inc. has owned Zapproved since acquiring it on January 19, 2023. Exterro itself is backed by K1 Investment Management, Leeds Equity Partners, Coller Capital, and Glendower Capital, following a strategic recapitalization exceeding $1 billion completed July 26, 2022.
Who is Zapproved's biggest competitor?
Relativity, Everlaw, and DISCO now compete on price by bundling AI review features free: Relativity's aiR went free in RelativityOne on November 1, 2025, and Everlaw matched with free AI Assistant access the same month, while Microsoft Purview offers free legal hold and eDiscovery inside Microsoft 365 since February 2025.
Will Zapproved launch a new AI-native product?
No independent evidence of a new Zapproved-branded launch has surfaced since the January 2023 Exterro acquisition; as of June 2026 the site still largely runs pre-acquisition messaging, per Crustdata's June 21, 2026 profile.
